Job Description

(a) Type of events to be supported:
1. Press conferences. (e.g. company results presentation).
2. Board meetings.
3. Employee information events.
4. General business specific events, like Technique queens, Christmas parties etc.
5. Business sessions with participants from Universities, Schools, Business partners, Governments, etc.



(b) Job Description:
1. Collection of Business needs, Consultancy, Timely planning, Planning, Preparation and construction of necessary Hardware (Loudspeaker, Beamer, Screens, Microphones, Lights, Audio and Video mixing consoles, etc.), Software, and Systems.
2. Technical rehearsals (on special request only).
3. Coordination of acting external partners.
4. Planning of necessary rooms / locations in close relationship with Facility Management.
5. Modification prior to the event. Rebuild of the captured rooms after the events.
6. Strategic planning of necessary hardware, systems and personnel.
7. Planning of all necessary maintenance (internally and externally) in order to guarantee the availability of the stuff needed.
8. Ensuring the back charging to the businesses based on ASP (Service Management).
9. Providing the voice-recording system (especially for Workers council).
10. Planning of Live-Streaming for Customer locations worldwide and external attendees.



(c) Meeting amp; Special Room Support:
1. Check the Beemer if functioning properly.
2. Check Meeting Room LAN Port if working properly with test Call.
3. Check Meeting Room Voice Ports if working properly with test Call.
4. Notebook and connectivity presenting with a dummy presentation.
5. Checking the LCD Display.
6. Checking the VC Device is this is working with a test call.
7. Support meeting at the beginning - 10 to 15 mins (VIP Meetings)
8. For VIP meetings be present before 15 mins.
9. All testing to be done in advance of the VIP meeting time.
10. Highlight any faulty device to Customer
11. Manage the Break fix of the Meeting Room devices.
12. Support during ongoing meeting if there are any issues related to the Meeting room equipment’s.
13. Special room testing every month as per schedule and checklist - 4 eyes.
14. VC Support with or without CISCO Devices (Ex. Teams etc.)
15. Technical Documentation

Requirements

1. Speaking, Writing and Reading German C1 Level.
2. Good in English Speaking, Reading and Writing.
3. Five years’ experience providing Event Support.
4. Proactively plan, prepare, perform a wide range of events as requested by the Customer in order to guarantee successful events.
5. It includes general work out of concepts and includes all aspects like planning of lead times, necessary personnel resources, hardware, software, systems, planning and steering of external parties and support companies as needed.
6. This support has to go hand in hand with VIP-Services and Field Support services and needs very deep knowledge of the Customer businesses and solutions and requires continuous close alignment and planning.
7. It is in the nature of this service that all involved personnel get access to confidential company information and get access to absolute privacy areas. Therefore, it is obligatory for all performing and involved personnel that they are named and proof a very good reputation and absolute professional behavior.
8. It is also obligatory to provide impeccable character references for all involved.
9. The major part of the Services has to be provided during office hours, from time to time also outside office hours and also on weekends/public holidays. There are also ad hoc requests on short term from Business Senior members which need to be performed and need special attention.
